To C or not to CMS

That is the question... Actually, most people who work with websites don't consider that question for long. The benefits of being able to do lightning-quick updates in a fully custom-designed website design are obvious. Just like the ability to change designs completely when needed, without losing any content. Factor in the many other benefits of using a web Content Management Suite, and that base question is basically moot.

More interesting questions are what it costs for a company to run its website, and what the differences are between setups - i.e. what does it cost in an old-fashioned, flat-file solution vs. in a web CMS.

Sometimes, our Creative Partners hear a potential client say: "But why would I want to pay $50 or $120 per month for caSaaS web CMS when I only pay $25 amonth at XYZ Hosting?"

Well, the caSaaS monthly subscription covers not only hosting, but also the software and its ongoing upgrades and maintenance - so your subscription is as modern 5 years from now as it is today. But wouldn't that mean that you pay more for a web CMS-based solution?

Assuming that you do even minimal updates to your website, it is actually more affordable to use a web CMS. And if it's Software-as-a-Service, there's no Return-on-Investment calculation. It's profitable from Day 1!

In our example above, we assume that you spend just 12 hours per year creating updated content on your site (or an average of 1 hour per month). We have also assumed that a non-technical person can implement an update in caSaaS web CMS in half the time it takes a technical person to make the same update in a flat-file, hard-coded solution. In most situations that advantage would be far greater.

Our website contains our set of assumptions. Below are the figures used to create the chart above:

Even if one eliminates any consideration of cost for internal labor - that is, saying that your personnel is there anyway, a caSaaS-based solution is still more affordable. In this example, the flat-file solution would have an out-of-pocket expense of $25 in hosting plus $50 for 1 hour of content implementation by external resources. This monthly total of $75 is then compared with the caSaaS monthly subscription price of $50 with no other external expenses.

So "to CMS" is not only more affordable just about any way you look at it, you also get all the benefits of a dynamic, "live" website, like much higher page rankings with the search engines.

Of course, our one underlying assumption was that you wanted to update your website somewhat regularly. If that is not the case, you can find many cheap solutions that'll work. But that's a much different story.

Ongoing cost scenarios

We have prepared a couple of commonly-found cost scenarios:

"Business-card" website: 1 - 6 pages

Small-business website: 7 - 25 pages

Bigger site: 26 - 50 pages

Mid-sized website/sites: 50+ pages

All four scenarios show external and internal costs of flat-file vs. caSaaS web CMS-based solutions. A full set of assumptions are included too.

Your business referral-based?

If so, it is unlikely that you'll gain business directly from potential clients searching for, say, "mortgage broker Atlanta." But a modern, professional website will serve well as validation for referrals. It is what the yellow pages were 15 years ago - an absolute necessity. And you can use the built-in caSaaS e-mail newsletters to make sure that you maintain mindshare over the years with your referrals.
